Pacific Heat Pump Covers ("we", "us", "our") is a brand of Pacific Outdoor Solutions, based in Napier, New Zealand. This policy explains how we collect, use, store and disclose your personal information when you visit pacificheatpumpcovers.com or buy from us. We handle personal information in accordance with the Privacy Act 2020 and the Information Privacy Principles.
2. What we collect
Information you give us: name, email address, phone number and delivery address; billing address and order details; the heat pump brand, model and measurements you enter into our Find Your Size tool; messages you send us through the contact form, by email or by phone; and any other information you choose to provide.
Information collected automatically: IP address, browser type, device type and operating system; pages visited, time spent on the site and referring website; and cookie and similar tracking data.
Payment information: we do not store your full credit or debit card details. Card payments are processed by Stripe and PayPal, who handle your card data under their own privacy policies and security standards.
3. How we collect it
We collect personal information directly from you when you place an order, create an account, use our sizing tool, subscribe to updates, or contact us. We also collect some information automatically through our website platform and analytics tools.
4. Why we use it
We use your personal information to process, fulfil and deliver your orders; take payment and issue receipts, invoices and refunds; provide quotes for custom covers; communicate with you about your order, including delivery updates; respond to enquiries and provide customer support; manage returns, warranty claims and faults; send marketing communications where you have opted in; improve our website, products and sizing recommendations; and meet our legal, tax and accounting obligations. We will not use your information for an unrelated purpose without telling you first, unless the law allows or requires it.
5. Who we share it with
We share personal information only where necessary, with our payment providers (Stripe and PayPal) to process payments; freight and courier companies to deliver your order; our website platform (Wix), which hosts this site and stores order and contact records; the business systems we use to manage orders and customer records; our professional advisors, where required; and government agencies or law enforcement, where we are legally required to disclose. We do not sell, rent or trade your personal information.
6. Cookies and analytics
Our website uses cookies and similar technologies to keep the site working, remember your cart, and understand how the site is used. You can control or block cookies in your browser settings, but some parts of the site may not work properly if you do. Where we use analytics or advertising tools, those providers may set their own cookies and collect usage data under their own privacy policies.
7. Storage, security and overseas transfer
Your information is stored on servers operated by Wix and our other service providers, which may be located outside New Zealand. 8. How long we keep it
We keep personal information only as long as we need it for the purposes described above, or as required by law. Sales records are kept for seven years to meet Inland Revenue requirements. When we no longer need your information, we securely delete or de-identify it.
9. Your rights
Under the Privacy Act 2020 you have the right to access the personal information we hold about you, to have it corrected if it is wrong or out of date, and to withdraw your consent to marketing at any time. To make a request, email us at enquiries@pacificoutdoorsolutions.co.nz. We will respond within 20 working days. We may need to verify your identity first.
10. Marketing
If you have opted in to marketing emails, you can unsubscribe at any time using the link at the bottom of any email, or by contacting us. We will still send you transactional messages about orders you have placed.
11. Children
Our website and products are not directed at children. We do not knowingly collect personal information from anyone under 16.
12. Third-party links
Our site may link to other websites, including pacificoutdoorsolutions.co.nz. We are not responsible for the privacy practices of other sites, so please read their policies.

We may update this policy from time to time. The current version will always be available on this page, with the last updated date shown at the top.
